How do I invoice dental treatments?

Billing in a dental practice is not just an invoice: a treatment spans stages, part of it may be reimbursed, and the patient often pays in instalments. The software has to tie the invoice to the treatment performed, rather than making you write it from scratch.

  1. You start the invoice from the treatment plan or from the treatments ticked as performed, not manually.

The flow, step by step

  1. The dentist ticks in the record the treatments performed in that session.

  4. The patient pays in full or partially; the collection is recorded against the invoice.
  5. The invoice is emailed, and for business clients it is transmitted electronically.
  6. Reports show collections per day, per dentist and per treatment type.

Legal context (Romania)

Dental services may be partly reimbursed from the health insurance fund, within the limits of and based on the contract signed with the insurance house — the concrete conditions are set by the framework contract and the CNAS norms applicable to the current year, so they are checked annually. For dealings with business clients, Romania introduced the obligation to transmit invoices through the RO e-Invoicing system (GEO no. 120/2021, as subsequently amended). At the first session the root canal is performed, that stage is invoiced, the patient pays 800 RON by card, and the collection stays tied to the invoice and to their record. At the third stage the front desk immediately sees that 1,600 RON has been collected and what remains, without searching another ledger.

  • Writing invoices in a separate program, so you cannot tie collections to treatments.
  • Not separating the reimbursed part: the patient sees an amount on the invoice they do not owe.
  • Invoicing the whole plan upfront, although the treatment spans months.
  • Keeping prices in your head or on a printed list instead of a price list inside the software.
