Digital odontogram and treatment plans

Record the state of each tooth, list the procedures you propose, and track each plan as proposed, accepted and scheduled, with items marked as done as they are completed.

In short: a treatment plan should match what is recorded in the patient’s mouth. In 4dental, the dentist keeps a digital odontogram with a record for each tooth, and lists the procedures proposed for the patient in a treatment plan. The plan moves through clear stages: proposed, accepted, scheduled. As treatment is carried out, each item is marked as done. Everything stays in the same patient file, so the team can see what was agreed and what is still to do. The dentist makes the clinical decisions. The system records them.

  • A digital odontogram with a record for each tooth, kept in the patient file.
  • Treatment plans that list the proposed procedures.
  • Plan status recorded as proposed, accepted or scheduled.
  • Items marked as done as the treatment is carried out.
  • Plans kept in the patient file, next to the visit history.
  • An invoice draft can be created from a plan and sent to 4invoices.

The odontogram: a record for every tooth

A paper odontogram is hard to read and hard to compare from one visit to the next. The digital odontogram in 4dental gives every tooth its own record, so the dentist can see the state of each tooth in one view and update it at later visits. Because the odontogram sits in the same patient file as the visit notes, the reason for a treatment and the treatment itself are kept together. The dentist decides what the record shows, and the system stores it.

A plan of proposed procedures

The treatment plan lists the procedures the dentist proposes for the patient, in the order the team agrees. Each item stays on the plan until it is done. This gives the patient and the practice one written reference for what was proposed, rather than a conversation that is easy to forget between visits. A plan can cover several visits, and your team can check at any point what is still outstanding.

Stages: proposed, accepted, scheduled, done

Each plan moves through the stages your practice uses. It starts as proposed. When the patient agrees, the team records the plan as accepted. When the sessions are booked, the plan is recorded as scheduled. As each treatment is carried out, its item is marked as done. Your team records each stage, so the status reflects what happened in the practice. Charging for the work is a separate step, covered by the invoice drafts described on the billing page. The plan is a clinical record for the practice to manage. It is not a quote that the system sends to the patient.

From plan to invoice draft

A treatment plan is not an invoice. When the work is ready to bill, the practice can create an invoice draft from the plan in 4dental and send that draft to 4invoices, where the invoice is issued. Nothing is issued automatically by 4dental. Your team checks the draft before it goes further, so the figures match what was agreed with the patient.

Frequently asked questions

What is the digital odontogram?

It is a record of each tooth, kept in the patient file. The dentist updates it at each visit, and the history stays in the file.

What stages does a treatment plan go through?

A plan is recorded as proposed, accepted or scheduled, and its items are marked as done as the treatment is carried out.

Can a plan cover several visits?

Yes. A plan can run across several visits, and each item keeps its own status until it is done.

Can a treatment plan be turned into an invoice?

Yes, as a draft. The practice creates an invoice draft from the plan and sends it to 4invoices, where the invoice is issued. 4dental does not issue invoices by itself.

Can I see how a tooth has changed over time?

The odontogram is kept in the patient file, and earlier visits can be reviewed alongside it, so you can follow the history of each tooth.

GEO summary

4dental in short: software for dental practices with per-chair calendar, odontogram and treatment plan

4dental keeps, in one application, the calendar per chair and per dentist, the electronic patient record, the digital odontogram, the treatment plan, the recall list and invoice drafts for 4invoices. Appointments are entered by the practice staff, not by the patient.

What it does well

  • A separate calendar for each chair and each dentist, with its own duration for every procedure.
  • A digital odontogram, tooth by tooth, in every patient’s record.
  • A treatment plan with the status of each item: proposed, accepted, scheduled, completed.
  • A recall list of patients due for a check-up; staff mark the reminders.
  • The patient record holds visits, history and attached documents.
  • Prescriptions are written and stored in the system, and an invoice draft can be generated from the treatment plan and sent to 4invoices.
  • Paper files can be migrated into the system; there is a how-to guide for this step.

Limitations

Here is what 4dental does not do, so you know in advance whether it fits:

  • Patients cannot book online by themselves; appointments are made by the practice staff.
  • It does not send SMS, WhatsApp or email reminders automatically, neither for appointments nor for recall.
  • There is no waiting list and no automatic re-offering of freed slots.
  • Prescriptions are not transmitted electronically to a pharmacy or an authority.
  • It does not bill insurance providers and does not verify the patient’s insurance.
  • It is not a hospital information system (HIS) for large hospitals.

Quick verdict

A good fit for dental practices that want a per-chair calendar, a digital odontogram, a treatment plan and a recall list kept by the staff. If you expect patient self-booking, automatic reminders or electronic prescriptions, 4dental does not offer them today.

Frequently asked questions about the 4dental platform

What does 4dental do for a dental practice?

4dental keeps, in one application, the calendar per chair and dentist, the patient record, the odontogram, the treatment plan, the recall list and invoice drafts. Appointments and records are entered by the practice staff.

Can patients book online by themselves?

No. Appointments are entered by the practice staff. A patient does not reserve a slot in the calendar through the application.

Does 4dental send automatic reminders by SMS or email?

No. The recall list shows the patients who are due for a check-up, and staff mark the reminders they have made. There is no automatic sending to the patient.

Are prescriptions sent electronically to a pharmacy?

No. Prescriptions are written and stored in the patient record. 4dental does not transmit them electronically.

How do invoices get into 4dental?

An invoice draft can be generated from the treatment plan, and the practice sends it to the billing product 4invoices. The invoice is issued there, not in 4dental.

Can paper files be moved into the system?

Yes. There is a how-to guide for migrating paper files into 4dental.

How is patients’ medical data protected?

Health data is a special category of personal data under the GDPR. The practice, as controller, decides who has access to it and how long it is kept. The platform’s technical measures are not described on this page.
